Wedding Guest List Guide

Set a maximum before adding names

  • Use the smaller limit between your venue capacity and affordable catering capacity.
  • Do not assume that many guests will decline.
  • Reserve a small number of places for late family decisions or essential additions.

Create clear invitation groups

  • Group A includes immediate family and people central to your current life.
  • Group B includes close friends, extended family and important colleagues.

Decide rules before exceptions

Collect useful guest information

  • Track complete names, household, phone, email, language and invitation status.
  • Record meal choices, allergies, accessibility needs and travel information.

Manage RSVPs calmly

  • Set the RSVP deadline several weeks before the caterer’s final deadline.
  • Send one friendly reminder before contacting guests individually.
  • Treat unanswered invitations as unconfirmed until the guest responds clearly.
